Terms & Booking Policy

The Conscious Work Company
Last updated: September 2026

These terms apply to services, coaching relationships, memberships, communities, group programmes, workshops, events, digital resources and other offerings provided by The Conscious Work Company.

Specific details such as the scope of an offering, duration, price, payment structure and what is included will be shown on the relevant sales, booking or checkout page and form part of your agreement with us.

By purchasing, subscribing to or participating in an offering, you agree to these terms.

Booking and payment

Your booking or membership is confirmed once the required payment has been successfully processed or an agreed payment arrangement has commenced.

Where an offering involves an application or introductory conversation, your place is confirmed once we have mutually agreed to work together and any required payment has been received.

Prices, payment plans, subscription frequencies and any promotional or founding rates will be clearly stated at the point of purchase.

Where payment is made by instalments, the instalment arrangement does not necessarily represent a pay-as-you-go arrangement. Where an offering has a stated minimum commitment, you remain responsible for payments relating to that agreed minimum term unless otherwise agreed or required by law.

Personalised services

Every client journey is different.

Our work may include coaching, mentoring, nervous-system practices, breathwork, somatic or embodied practices, reflection, energy work or other personal-development approaches depending on the service chosen and what is appropriate for you.

Where an offering specifies a minimum number or type of sessions, these represent the minimum support included. The precise nature and focus of our work may be tailored around your individual needs.

Participation does not guarantee a particular result or outcome.

Appointments and rescheduling

For private appointments, please provide at least 48 hours' notice if you need to reschedule.

Where sufficient notice is provided, we will normally arrange another suitable time at no additional charge.

Appointments cancelled with less than 48 hours' notice or missed without notice may be treated as delivered and may not be refundable or replaceable.

We recognise that genuine emergencies happen and will always consider exceptional circumstances reasonably.

If The Conscious Work Company needs to cancel or reschedule an appointment, an alternative time will be offered. Where an appropriate alternative cannot be provided, a suitable credit or refund will be offered.

Group sessions, workshops and events

Group sessions, community calls, workshops and events normally take place at scheduled times.

If you are unable to attend, this does not automatically create an entitlement to a replacement session or refund.

Where a recording or replay is offered, access arrangements will be communicated separately. Replays are not guaranteed unless they are specifically included in the offering you purchased.

Memberships and recurring subscriptions

Some offerings operate as recurring memberships or subscriptions.

The billing frequency and amount will be clearly shown before you subscribe. Unless stated otherwise, subscriptions renew automatically at the applicable billing interval until cancelled.

You may cancel a recurring membership or subscription in accordance with the cancellation process provided at the time of purchase or by contacting us.

Cancellation prevents future renewal payments. Unless otherwise stated, you will normally retain access until the end of the billing period you have already paid for.

Partial billing periods are not normally refunded unless required by law or expressly agreed otherwise.

Any minimum membership period or commitment will be clearly disclosed before purchase.

Consumer subscription terms need to be prominent, understandable and fair, including clear information about renewal and cancellation.

Minimum-term services

Some private services or programmes may involve a minimum commitment period.

Where this applies, the minimum period will be made clear before you purchase.

A minimum commitment allows sufficient continuity for the work to develop and means that cancellation of individual appointments does not automatically terminate the wider agreement.

If your circumstances change significantly and you need to discuss ending a minimum-term arrangement early, please contact us. Any outstanding payments, credits or refunds will be considered reasonably, taking into account the services already provided, appointments reserved, resources supplied and the terms agreed at the time of purchase.

Nothing in this section affects your statutory consumer rights.

Cooling-off and statutory cancellation rights

Where you purchase a service online or at a distance, you will normally have a 14-day statutory cancellation period beginning when the contract is made.

If you ask us to begin delivering services during that 14-day period, we may ask you to expressly confirm that you would like the service to begin immediately.

If you subsequently cancel during the cooling-off period after services have started, you may be required to pay a proportionate amount for the services already supplied.

Where a service is completed in full during the cancellation period at your express request, your statutory cancellation rights may be affected in accordance with applicable consumer law.

Digital content and immediate access

Some offerings may include recordings, breathwork practices, courses, workbooks, resources or other digital content.

Where you request immediate access to digital content during a statutory cooling-off period, we may ask you to expressly consent to immediate delivery and acknowledge that your cancellation rights in relation to that digital content may be affected once delivery begins.

UK online-selling rules require express agreement before digital content is supplied immediately where doing so affects the consumer's cancellation rights.

Digital resources are supplied for your personal use unless we expressly state otherwise.

Refunds

Refunds are considered in accordance with these terms, the specific offering purchased and your statutory rights.

Except where required by law, refunds will not normally be provided simply because you change your mind after the relevant cancellation period has expired or because you have chosen not to attend or use an offering that remained available to you.

Where The Conscious Work Company is unable to provide a service that you have paid for and a suitable alternative cannot be agreed, an appropriate refund or credit will be provided.

Health, wellbeing and participation

Our services are intended for coaching, personal development, wellbeing and educational purposes.

They are not medical treatment, psychotherapy, psychiatric treatment or a substitute for care provided by an appropriately qualified healthcare professional.

You are responsible for determining whether participation is appropriate for you and for telling us about relevant circumstances where this may affect the safe delivery of a practice.

For certain breathwork, somatic or energy-based practices, we may ask for relevant health information so that we can assess whether a practice should be adapted or avoided.

You are always free to decline, pause or stop an exercise or practice.

Where physical touch could form part of a practice, this will only take place with your explicit and ongoing consent.

Personal responsibility and results

Coaching and personal-development work are collaborative processes.

We may provide coaching, perspectives, practices, reflections and support, but you remain responsible for your own decisions, actions and wellbeing.

Individual experiences and outcomes vary, and no specific personal, professional, financial, emotional or wellbeing result is guaranteed.

Communities and group spaces

Where an offering includes a WhatsApp group, online community or other shared space, members are expected to treat each other with respect and discretion.

Please do not share another member's personal stories, messages, images or information outside the community without their permission.

While The Conscious Work Company will take reasonable steps to create a respectful and confidential environment, we cannot guarantee the actions or confidentiality of other community members.

We reserve the right to remove someone from a community where their conduct is abusive, discriminatory, threatening, disruptive or materially compromises the safety or privacy of other members.

Confidentiality

Information shared within private coaching sessions will be treated confidentially and will not normally be disclosed without your permission.

There may be limited circumstances where disclosure is required or appropriate, including legal obligations, safeguarding concerns or a serious and imminent risk of harm.

Where reasonably possible, this will be discussed with you before any disclosure is made.

Group and community settings are different from one-to-one coaching because other participants are present, and absolute confidentiality by other participants cannot be guaranteed.

Privacy and data protection

The Conscious Work Company takes your privacy seriously and processes personal information in accordance with applicable UK data-protection legislation, including the UK GDPR and Data Protection Act 2018.

We may collect information such as your name, contact information, payment and booking information, communications with us and information you voluntarily provide in connection with our services.

We use personal information where there is an appropriate lawful basis, including where processing is necessary to provide a service you have requested, comply with legal obligations, pursue legitimate business interests or where you have provided consent.

Some services may involve voluntarily providing health or wellbeing information. Health information is special-category personal data under UK GDPR. Where explicit consent is the appropriate condition for processing such information, we will obtain that consent separately and clearly.

We only seek information that is relevant to delivering our services and managing the relationship with you.

Further information about what we collect, how it is used, who it may be shared with, how long it is retained and your data-protection rights is set out in our Privacy Policy.

Marketing communications

Purchasing a service does not automatically mean that you must receive promotional marketing from us.

Where marketing consent is required, it will be requested separately.

You can unsubscribe from marketing communications at any time using the unsubscribe option provided or by contacting us.

Operational communications relating to something you have purchased, such as appointment information, membership updates or service announcements, may still be sent where necessary to deliver the service.

Intellectual property

Unless otherwise stated, materials supplied by The Conscious Work Company, including recordings, exercises, workbooks, written resources, videos and digital practices, remain our intellectual property.

They are provided for your personal use.

They may not be reproduced, resold, published, distributed, recorded, shared publicly or used commercially without prior written permission.

Changes to memberships or services

From time to time we may update the format, schedule, content or delivery of an offering.

Any material change affecting an existing paid commitment will be communicated reasonably in advance.

We will not retrospectively change the price already agreed for a fixed paid period.

For ongoing subscriptions, any future pricing change will be communicated before it takes effect and your cancellation rights will remain available in accordance with the applicable terms and law.

Complaints

If you are unhappy with any aspect of your experience, please contact us first so that we have an opportunity to understand and resolve the issue.
